CONDO ASSOCIATIONS & HOAS

Accounting Services:

  • Collecting, recording and depositing of maintenance fees, assessments, and other monies due to the Association.
  • Continuous review of the Association’s financial status and recommendations made to the Board of Directors accordingly.
  • Enforce policy for collecting delinquent accounts up to and including legal action.
  • Processing of payables as directed by the Board.
  • Maintain financial records and bank accounts.  These records will be available for review for all of the Members of the Association.
  • Preparation of monthly financial reports.
  • Institute legal actions with Association’s attorney to enforce collection of fees.
  • Assist in the preparation of the Annual Budget.
  • Assist your accountant with the preparation of filing the corporation’s tax returns, and corporation filing with the State of Florida.
  • Perform an analysis of the Budget versus the Actual expenses.

 

Management Services

  • Prompt response to all homeowners’ inquiries.
  • Maintain mail and phone communications as well as a 24-hour, 7 day a week emergency response number.
  • Conduct regular inspections of property and provide reports to the Board as requested, including identifying areas of concern and making recommendations on correcting deficiencies.
  • Review all insurance policies carried by the Association for proper coverage
  • Provide an ‘On-site Property Manager’ (if requested at an additional charge of $18/hour).
  • Store Association’s Records for 7 years.

RENTAL PROPERTIES

 

A. Property Turnover

  • Inspect unit upon tenant move-in
  • Conduct anniversary meetings and send thank you letters
  • Inspect unit upon tenant move-out
  • Supervise cleaning of unit upon tenant move-out
  • Supervise cleaning of floors, carpets and rugs
  • Supervise  the painting of  walls, baseboards, ceilings, lights and built-in shelves as needed
  • Order the repair of doors, windows, window coverings, and mini-blinds

B. Rent Collection

  • Collect rents when due
  • Maintain rent-collection records
  • Collect late rents and charges
  • Inform Owner of late rents
  • Prepare late rent notices
  • Serve rent increase and tenancy termination notices
  • Deposit rent collections in bank
  • Prepare and post a 3-day eviction notice when necessary ($25 fee per posted notice)
  • Handling the eviction process for uncontested evictions. ($150 fee for uncontested evictions)

C. Maintenance

  • Conduct monthly drive-by inspections
  • Conduct semiannual interior inspections
  • Provide monthly report of maintenance, repairs, and utility expenses to Owner
  • Give rental violation notices when applicable
  • Order the cleaning of stairs, decks, patios, and sidewalks
  • Order the cleaning of garage oils on pavement
  • Verify lawn care, trim bushes and rake leaves
  • Order the cleaning of garbage and debris on grounds

D. Repairs (arranging for repairs for the following issues)

  • Accept tenant complaints and repair requests
  • Inform Owner of maintenance and repair needs
  • Categorize and maintain written log of tenant complaints
  • Plumbing stoppages
  • Garbage disposal stoppages/repairs
  • Faucet leaks/washer replacement
  • Toilet repairs
  • Stove burners/hinges/knobs repair or replacement
  • Appliance repair
  • Light switch and outlet repair/replacement
  • Heater thermostat repair
  • Window repair/replacement
  • Painting (interior/exterior)
  • Key replacement
  • Handle all other routine maintenance and repairs
  • Coordinate repairs with contractors if needed (with owner approval for jobs more than $ TBD )

E. Other Responsibilities

  • Provide phone number to tenants as an emergency contact number.
  • Meet or call Owner monthly (or as needed) to consult on the job priorities and give updated reports on the status of residents and management priorities.
  • Submit monthly time sheets to Owner detailing activities, materials purchased and receipts.

 

F. Leasing Services

  • Advertise rentals (MLS/Realtor.com, APM website, our existing clients looking for rentals)
  • Answer phone inquiries about vacancies
  • Show vacant units
  • Accept rental applications
  • Run background checks (criminal, felonies, terrorist watch list, previous evictions in South FL) and credit checks and present finding to the owner
  • Accept initial rents and deposits
  • Negotiate rental leases
  • Prepare leases and sign property condition checklist
  • Give required disclosure forms
